1. Management of legal documentation for a multinational freight management company: This project involved processing over 4000 legal documents relating to the fleet every week. The team would check each document to make sure that the information was correct, add additional information as required and then attach the document to the correct vehicles file.
2. Managing the time cards for employees - This involved the capture of all work undertaken by the company’s employees on a daily basis and the hours entered into the company’s system so that they could track the labour cost per product. This also allowed the business to track each employees time management.
3. Processing Purchase Order Request (POR) for a large engineering business. This would involve checking each POR to make sure that it complied with company protocols. We would enter the Vendor, CTS number, Job number, Date of work, Mileage, Email, Fax. Then type the description of each purchase, quantity and the price of the item from the purchase order. Any discrepancies would be reported directly to the client’s management team.
4. Processing of the rental documentation for a haulage vehicle rental business. This involves managing the legal documentation, processing MOTs and inputting due dates for vehicle tests, managing the paperwork for the health and safety tests and repairs. This includes rejecting and sending documentation back to suppliers, clients and internal departments where errors have been found.
5. Invoice processing - Our client is an engineering business with over 6000 suppliers, each with different terms and conditions. This involves checking the invoices submitted by suppliers against the Purchase Orders and subsequent delivery notes to ensure that the details on each invoice is correct.This includes price, quantities as some orders will result in multiple deliveries. There are over 50 reasons to reject an invoice as factors inc. currency, import duties, removal for recycling, replacement and that the wrong product was delivered. Once we have checked an invoice it is cleared for payment but the company's accounts dept.
6. Managing employee documentation - This includes checking and filing H&S documents, training documents, receival of goods documentation
